Job Description of Accounting Clerk
  • The Accounting Clerk generally handles administrative duties to guarantee accurate financial paperwork, supporting the operations of an organization's Accounting and Finance department. Among your responsibilities are assisting the head accountant with bookkeeping and administrative tasks, creating financial statements in accordance with accounting standards, and verifying the correctness of data from accounting databases.

Official “Duties and Responsibilities” of Accounting Clerk

Check Voucher Processing
  • Create check vouchers for payment requests from all company departments and branches.
  • Processing check vouchers and for shipping lines and supplier, and checks for the entities including summarizing RORO transactions, assigning check dates, and coordinating with the Domestic Operation department.
Check Preparation
  • Prepare and print checks, consulting with Finance Clerk/Assistance for appropriate dates.
  • Submit checks to the CEO's office for signature.
  • Maintain accurate records of checks numbers, particulars, and withdrawal amounts in the checkbook.
  • Complete check voucher details, including bank information, check number, and amount.
Check Distribution
  • Separate receiving copies of check vouchers and attachments for creditors and the accounting department.
  • Photocopying cheques with signatures.
  • Prepare transmittal slips for cheque distribution.
Accounting Support
  • Finance Clerk Assistance: Assist Finance Clerk/ Assistant with cheque preparation tasks.
  • Chief Accountant Assistance: Assist Chief/Head Accountant with check voucher preparation.
  • Monthly Reporting: Assist Finance/Accounting Supervisor in extracting monthly expanded withholding tax information from QuickBooks. Additionally, encode VAT/net of VAT and input VAT for each purchase order.
QuickBooks Data Entry
  • Enter bills and pay bills in QuickBooks.
Communication and Coordination
  • Handle telephone inquiries from various departments, coordinating communication and follow-ups related to payments in the accounting department, check approvals in the CEO's office, and other departmental concerns.

Education and Experience Requirements
  • Must be a graduate of BS Accountancy (BSA) or any related course.
  • Three (3) to six (6) months of bookkeeping is an advantage but not required.
