About Us:We are a fast-growing ATM consulting company that helps entrepreneurs launch and scale their own ATM businesses. Our focus is providing expert coaching, full-service setup support, and ongoing mentorship. As we grow, we need a talented Executive Assistant to help us organize our internal operations, build out client-facing systems, and improve the overall experience for our clients and team.
Position Overview:We are looking for a highly organized, tech-savvy Executive Assistant to work directly with the CEO to build, document, and manage the operational backbone of the company. This role will focus on creating clear SOPs (Standard Operating Procedures), onboarding systems, internal automations (Slack, CRM, etc.), and providing direct support to clients and consultants.
You will play a critical role in ensuring smooth communication between clients and consultants from onboarding all the way through ongoing ATM support.
Key Responsibilities:
Build and document SOPs for:
New client onboarding process
Client handoff to coaching team
ATM ordering, delivery, programming, and installation procedures
Ongoing client support systems
Set up automations within Slack and other tools to organize communication flows (consultants ?? clients)
Manage communication channels (Slack, Email, CRM) to ensure timely support
Create and manage Terminal IDs for client ATMs
Assist with general ATM support questions, troubleshooting, and coordination
Handle client scheduling, reminders, and document organization
Improve and update client onboarding materials and training documentation
Provide administrative support across projects to streamline the business
Work closely with consultants and operations to continuously improve the client experience
Qualifications:
3+ years experience in executive support, operations, or project management
Proven experience creating SOPs and building systems from scratch
Tech-savvy: experience with Slack, CRM systems, automation tools (Zapier a plus)
Strong communication skills — written and verbal
Extremely organized with a process-driven mindset
Self-starter who can work independently and problem-solve
Previous experience in ATM, fintech, payments, or coaching/consulting businesses is a big plus
Comfortable supporting clients via email, Slack, and CRM ticket systems
