Overview:

We’re seeking a highly organized, detail-driven Office Administrator to support core business operations, client invoicing, procurement, vendor coordination, and executive support for a Managed Service Provider (MSP). This role is pivotal in maintaining smooth internal workflows, ensuring operational clarity, and supporting the CEO and COO with high-level administrative tasks.

Key Responsibilities:

Operational Execution (80%):

  • Manage client invoicing, follow up on outstanding payments, and ensure financial accuracy.
  • Oversee procurement and product/service order execution—nothing should sit idle.
  • Act as the primary liaison with vendors; handle service renewals and communication.
  • Triage service desk tickets, dispatch technicians, and support front-line client calls.
  • Maintain proactive follow-ups with clients and internal stakeholders to avoid bottlenecks.

Executive Operations Support (20%):

  • Monitor and manage CEO and COO inboxes, ensuring inbox zero, timely delegation, and escalation of key messages.
  • Assist with personal and business-related tasks for company leadership across multiple entities.
  • Provide calendar support, vendor communication, and priority updates to executives.

Administrative & Office Oversight:

  • Professionally manage client communications, office supply ordering, and cross-departmental task coordination.
  • Support company content efforts (e.g., newsletter, light social media coordination).
  • Ensure smooth front office and remote operational workflows.

Decision-Making & Escalation Triggers:

  • Escalate when delays, renewals, or vendor issues risk profitability or service continuity.
  • Coordinate with the COO on recurring procurement issues, major vendor changes, or sensitive executive requests.

Qualifications:

  • Proven experience in ordering, procurement, invoice management, and vendor coordination.
  • MSP background with service desk support, ticket triage, and client-facing communication.
  • Strong organizational and follow-up skills—nothing falls through the cracks.
  • Experience supporting executive leadership in both business and personal tasks.
  • Excellent written and verbal communication skills.
  • Tech-savvy and comfortable using business and financial systems.

Work Environment & Schedule:

  • Fully remote (long-term work-from-home arrangement).
  • Permanent night shift required to align with company operations and executive availability.
