Main purpose of the Executive Assistant role:
We are seeking a highly organized, proactive, and resourceful Executive Assistant to support key leadership team members within a fast-paced fashion company. The ideal candidate will be instrumental in managing daily operations, coordinating communication, and assisting with various administrative tasks to ensure the seamless functioning of the leadership team.
Major Responsibilities:
- Provide high-level administrative support to Executive Leadership
- Manage and maintain calendars, schedule appointments, and coordinate travel arrangements (flights, accommodations, car services).
- Prepare, edit, and proofread correspondence, reports, presentations, and other documents as required.
- Anticipate the needs of executives and proactively address issues before they arise.
- Assist with managing and tracking key projects, ensuring that deadlines are met and progress is communicated effectively.
- Coordinate between different departments, ensuring smooth communication and delivery of tasks.
- Maintain project documentation, follow up on action items, and ensure timely completion of deliverables.
- Act as a liaison between the leadership team and internal/external stakeholders (including clients, vendors, and partners).
- Organize and manage meetings, video conferences, and events, ensuring all necessary materials and resources are prepared.
- Support the leadership team in preparing for key operational and strategic meetings.
- Handle confidential and sensitive information with discretion and professionalism.
- Assist in data collection, analysis, and reporting as required by various departments.
- Organize and maintain files, records, and other administrative materials.
- Help with office management tasks and other miscellaneous duties as needed to support leadership.
Required Competencies:
- Strong verbal and written communication skills, with the ability to communicate clearly and professionally with executives, colleagues, and external partners.
- Exceptional time management skills with the ability to prioritize tasks and handle multiple responsibilities in a fast-paced environment.
- Strong organizational skills, with a keen eye for detail and the ability to manage complex schedules, projects, and information flow.
- Proficient in using common office software (Google Suite, Microsoft Office) and project management tools (e.g., Asana).
- Comfortable learning new technologies and tools to improve operational efficiency.
- Ability to handle sensitive and confidential information with the utmost discretion and professionalism.
- Comfortable working in a dynamic, fast-paced environment and able to pivot quickly when priorities change.
- A self-starter who can anticipate the needs of the executives and proactively solve problems to ensure smooth operations.
Minimum Qualifications:
- Bachelor’s degree or equivalent work experience.
- Minimum of 5 years of experience in an executive assistant or administrative role supporting senior leadership in a fast-paced corporate environment.
- Strong proficiency with Google Workspace (Docs, Sheets, Gmail), Microsoft Office Suite (Word, Excel, PowerPoint), and communication platforms like Slack, Zoom, etc.
- Experience with project management tools (Asana, etc.) is highly desirable.
- Fluent in English (both written and verbal) with the ability to compose professional emails and documents.
- Solution oriented and critical thinker
- Must be able to perform efficiently with tight deadlines
- Team player and ability to multitask
- Available to work in alignment with US business hours (some flexibility may be required).
Preferred Qualifications:
- Experience in the fashion or retail industry is a plus.
- 7-9 years of experience in an executive assistant role

A reasonable estimate of the current base hourly/salary range is ₱35,000 – ₱45,000 per month
