UK Admin Assistant (Permanent Work from Home) - Manila

Admin Assistant within the Building Surveying team is a role is ideal for someone who thrives in a fast-paced environment and possesses exceptional attention to details, is highly organised and tech savvy. This role is crucial in ensuring the smooth operation of the team by providing executive level support and handling a variety of administrative tasks.

As an integral part of the team, you will support the operations by managing administrative task and ensuring efficient communication within the team and with the clients.

Duties and Responsibilities:

  1. Building Surveyor:
  • Answer and direct phone calls in a polite and professional manner, serving as the first point of contact for clients and stakeholders.
  • Add and maintain client information in the system, ensuring all the data is accurate and up to date.
  • Assist in drafting, proofreading, and editing reports or circulars to ensure clarity, accuracy, and consistency.
  • Raise and process invoices using Xero, maintaining financial records with precision and accountability.
  • Provide comprehensive administrative assistance to the team, including typing of dictated reports via audio files, scheduling meetings, organising files, and managing correspondence. willingness to learn how to develop and maintain Microsoft office standard report templates for use by the team.
  1. Financial Management:
  • Assist in preparing budgets and manage these within agreed timelines and cost.
  • Assist the team in maintaining accurate income and fee projections on a month by month basis.
  1. Compliance and Regulation:
  • Understand and adhere to company policies and procedures, including AML and GDPR obligations and undertake regular in-house training.
  • Remain vigilant and report any regulatory suspicions including AML and GDPR breaches in a timely manner to the MLRO.
  1. Internal Responsibilities:
  • Maintain a pro-active approach to identifying new and progressing existing business opportunities by advising management of potential business streams and actively working in conjunction with the marketing plan.
  • Support the company in terms of client development and demonstrate an ability to foster professional relationships with new and existing clients.
  • Promote a professional service on behalf of the Company to official representatives of external clients.
  • Promote continuous improvement and deliver demonstrable high quality products and services which embrace quality standards.
  • Support the business with identifying high risks to the business in a timely manner.
  • Strive to work effectively and efficiently, minimising operational costs where possible.
  • Undertake any other reasonable tasks in line with skills and knowledge for this position.
  • Take reasonable care of your health, safety and welfare and others in accordance with Health & Safety at Work (Jersey) Law 1989.

Requirements:

  • Bachelor’s Degree or equivalent.
  • Proven experience as an Administrative Assistant.
  • Minimum 3 years’ experience in a similar role.
  • Demonstrable experience using MS Office 365.
  • Background in a construction consultancy is advantageous but not essential.
  • Must have a stable internet connection for a work-from-home arrangement. The designated work area must be in a private room, separate from shared spaces used by other household members.
