The Onboarding, Scheduling & Compliance Analyst is responsible for efficiently organizing and managing schedules for our team of Field Merchandisers. This includes planning shift lengths, tracking travel kilometers, validating extra hours, and approving timesheets for payroll processing.The role also ensures consistency in merchandising standards across all customers and supports performance management as needed.
Duties and Responsibilities- Develop and maintain daily, weekly, and monthly schedules for Field Merchandisers, including kilometer tracking.
- Coordinate availability and shift allocations for Field Merchandisers.
- Serve as the primary contact for managers and Field Merchandisers regarding scheduling, last-minute adjustments, and shift changes.
- Monitor and manage kilometers per field call against the schedule.
- Approve and verify timesheets, resolving discrepancies to ensure accurate payroll processing.
- Continuously improve scheduling processes for efficiency and cost-effectiveness.
- Review call forms to maintain merchandising standards.
- Provide feedback and corrective action instructions to the team.
- Identify and escalate team members re-training needs.
- Develop and maintain training documentation for Field Merchandisers.
- Address store-specific queries from Merchandisers.
- Coordinate the onboarding process for new staff, including paperwork and system access setup.
- Schedules and kilometer tracking are accurately created and maintained on time.
- Call forms are reviewed within one business day, with necessary responses provided.
- Positive feedback from managers and Merchandisers.
- All documentation is well-maintained and easily accessible.
Skills and Experience (Qualifications):
- Leadership Skills: Strong organizational skills with the ability to manage multiple schedules and prioritize effectively.
- Tools Expertise: Proficiency in job scheduling software, Excel, Word, PowerPoint, and Power BI.
- Computer Literate: Strong computer skills and a system-oriented mindset.
- Communication Skills: Excellent communication and interpersonal skills to build strong team relationships.
- Organisational Skills: Ability to balance multiple priorities with strong problem-solving skills.
- Detail-Oriented: High attention to detail, with the ability to identify discrepancies in rosters and timesheets.
