The purpose of the admin assistant role is to provide administrative support, to take charge of bookkeeping, debtor control and follow up and track priced work.

The Responsibilities:

  • Answer emails and calls as required
  • Take charge of follow ups for all jobs / tenders etc (utilise flowcharts)
  • Debtor recovery (utilise flowcharts)
  • Keep Buildertrend clean (close leads, update job prices etc)
  • Implement templates for Safe work method statements
  • Put together and hand in reports on time as required (detailed weekly and monthly reports)
  • Social media management (LinkedIn, Facebook, Instagram)
  • General ad hoc data entry
  • All bookkeeping duties including reconciling accounts and communicating with accountant
  • Bring to the attention of the HR any relevant client complaints or disputes and inform clients of any damage to property immediately so that it can be rectified, including documentation on damages spreadsheet
  • Assist in improving and implementing processes
  • Comply with company standards to ensure all work carried out is of the highest quality
  • Attend all scheduled meetings

The Work Set-Up:

  • Work onsite only
  • 8 hour work shift
  • Monday to Friday
  • Day shift (5am - 2pm)

Qualifications/Requirements

The Requirements:

  • Excellent written and verbal communication skills
  • Good understanding of Microsoft Office (Excel, Word etc)
  • Exceptional customer service
  • Results driven individual who is a self starter with great attention to detail
  • Fantastic time management
  • Have a general understanding of social media (LinkedIn, Instagram, Facebook etc)
  • Experienced working with AU clients is a plus.
  • Background with chasing payments/collections
