Booking Coordinator/Customer Service Specialist - Quezon City

As a Booking Coordinator, you will:
- Schedule and manage client appointments using an advanced clinic management software.
- Coordinate with internal teams (e.g., nurses, aestheticians, and managerial staff) to ensure accurate availability and resource allocation.
- Respond promptly to client inquiries and booking requests via phone, email, chat, and social media.
- Provide accurate information regarding services, promotions, and post-treatment guidelines.
- Follow up with clients to confirm or reschedule appointments, ensuring
- Maintain organized digital records of client interactions, payments, and
- Handle billing inquiries, process online payments, and issue invoices.
- Manage daily tasks such as filing electronic documents, updating client
- Communicate with clinic staff across multiple locations to streamline client flow, resource sharing, and scheduling adjustments
- Liaise with delivery personnel or third-party suppliers regarding inventory needs (e.g., skincare products and office supplies).
- Gather and document client feedback for continual service improvement
- Monitor appointment booking metrics and propose strategies to optimize the booking process.
- Minimum of 1 year experience in the medical/healthcare industry, specifically handling booking/scheduling and customer service
- Proficiency in clinic management or scheduling software, as well as standard office applications (e.g., Microsoft Office, Google Workspace)
- Previous administrative or receptionist roles in a medical, beauty, or cosmetic environment
- Experience with customer service metrics, handling customer complaints, and providing solutions on time
Preferred skills/expertise:
- Knowledge on beauty or cosmetic treatments (laser, injectables, body contouring, or skincare) is an advantage, enabling more informed interactions with clients
