  • Administrative Support:
  • Maintain the Vice President's schedule, calendar, and appointments.
  • Manage email, correspondence, and incoming communications.
  • Prepare meeting agendas, minutes, and other materials.
  • Handle confidential information and documents with discretion.
  • Manage travel arrangements for the VP.
  • Secretarial Support:
  • Draft and type correspondence, reports, and other documents.
  • Prepare presentations and slide decks.
  • Maintain accurate records and filing systems.
  • Answer phones and handle inquiries professionally.
  • Coordination and Liaison:
  • Coordinate meetings and conferences, ensuring timely preparation and execution.
  • Serve as a liaison between the VP and other departments and stakeholders.
  • Assist with special projects and initiatives as assigned.
  • Logistical Support:
  • Arrange for company events and meetings, including venues, catering, and materials.
  • Ensure office supplies are adequately stocked.
  • Assist with other logistical tasks as needed.
  • Project Management:
  • Assist in the management of projects and initiatives, providing support and tracking progress.
  • Prepare reports and presentations on project status.
  • Collaboration:
  • Collaborate with the operations manager and other departmental leaders towards process improvement
  • Represent the VP to the organization as needed and transpire necessary significant information from the team
  • Other Duties:
  • Perform other duties as assigned by the Vice President.
Qualifications/Requirements
  • Education:
Bachelor's degree in a related field preferred.
  • Experience:
Minimum of 1 year of experience in administrative or secretarial support roles is an advantage
  • Skills:
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Excellent communication, interpersonal, and organizational skills.
  • Ability to work independently and prioritize tasks effectively.
  • Strong attention to detail and accuracy.
  • Ability to handle confidential information with discretion.
  • Knowledge of relevant software and tools (e.g., project management software).
  • Proficient to translate Mandarin to English and vice versa
  • Proficiency with other language is an advantage
  • Other Requirements:
  • Willingness to work overtime
  • Ability to travel
  • Willingness to report at various operation facilities/sites.
