The Accounting Officer for a Property Management company is responsible for handling financial transactions, ensuring proper recording of property-related income and expenses, and maintaining compliance with tax and regulatory requirements. This role involves managing accounts payable and receivable, preparing financial reports, handling tenant billings, and assisting in budget planning for property operations.
Key Responsibilities:
- Financial Management & Reporting:
- Maintain accurate financial records for property income, expenses, and operational costs.
- Prepare financial reports, including income statements, balance sheets, and cash flow reports for each property.
- Assist in budget planning and financial forecasting for property operations.
- Accounts Payable & Receivable:
- Process payments to vendors, service providers, and contractors.
- Monitor and collect rent, association dues, utilities, and other tenant-related payments.
- Issue invoices and official receipts to tenants and property owners.
- Reconcile tenant accounts and ensure timely collection of outstanding balances.
- Bank Reconciliation & Cash Flow Management:
- Reconcile bank statements and ensure accurate recording of property-related transactions.
- Manage petty cash and monitor fund disbursements for property maintenance and operations.
- Ensure proper tracking of security deposits and refunds.
- Tax Compliance & Government Reporting:
- Prepare and file tax returns, including VAT, withholding tax, and other property-related taxes.
- Ensure compliance with regulatory agencies.
- Assist in tax audits and coordinate with external auditors.
- Property Expense & Budget Management:
- Monitor operational expenses such as utilities, maintenance costs, and security services.
- Assist in preparing financial projections for new property acquisitions or developments.
- Analyze cost-saving measures to maximize profitability for property owners.
- Audit & Internal Control:
- Ensure compliance with company accounting policies and financial regulations.
- Assist in internal and external audits by preparing necessary documentation.
- Identify discrepancies and recommend corrective actions to improve financial processes.
Qualifications:
- Bachelor’s degree in Accountancy, Finance, or a related field.
- At least 2 years of experience in accounting, preferably in real estate or property management.
- Strong knowledge of Philippine taxation, financial reporting, and real estate accounting.
- Proficiency in accounting software (e.g., QuickBooks, Xero, SAP, Yardi) and Microsoft Excel.
- Excellent analytical, problem-solving, and organizational skills.
- Strong attention to detail and ability to handle multiple properties/accounts.
- Ability to work under pressure and meet deadlines.
